AI-Powered Medicaid Eligibility Screening

The Goal
ClearCaid set out to solve a problem long-term care operators know well: figuring out whether a prospective resident or client is likely to qualify for Medicaid takes specialist knowledge, and that answer usually arrives late in the conversation. Admissions teams, elder law firms, and Certified Medicaid Planners needed a way to screen applicants before investing hours into cases that would never convert.
Our goal was to build a SaaS platform that puts expert-level screening in anyone’s hands. The product had to walk non-experts through a guided questionnaire, apply state-specific Medicaid rules in real time, and return a clear eligibility picture along with a way to capture and track every lead across an organization.
Tools Used

Delivered Value
We delivered an AI-driven screener that analyzes answers against state-specific rules, checking basic eligibility, assets and equity, income, and look-back penalties, and returns approval odds with guided next steps the moment a screen is completed. Plain-language prompts mean anyone on the team can run an accurate preliminary screen without Medicaid expertise.
Around the screener we built the operational layer: branded screener links and website widgets that feed leads directly into a centralized dashboard, real-time lead notifications, and status tracking from first screen to follow-up across unlimited facilities. Subscription billing with a free trial gives ClearCaid a straightforward path to revenue.
Under 10 Minutes
A full preliminary screen, from first question to eligibility breakdown, takes less than ten minutes. Teams know where a referral stands before the first real conversation.
15 States
The rules engine is built per state, with fifteen states live or rolling out at launch. New states can be added without rebuilding the screener.
200 Free Screens / Month
Every subscription includes 200 screens a month across unlimited facilities, with branded screener pages and widgets. The pricing keeps the tool practical for single-site operators and multi-location groups alike.
